Job Description

We are looking to hire an aspiring individual to contribute organizational and interpersonal skills as a Front Desk & Admin Officer providing exceptional administrative support, maintaining a welcoming front desk, and facilitating seamless daily operations.

Responsibilities:

  • Provide information about the establishment, such as the location of departments or offices, employees within the organization, or services provided.
  • Meet and greet persons entering the establishment, determine the nature and purpose of the visit, and direct or escort them to specific destinations.
  • Operate telephone to answer, screen, or forward calls, provide information, take messages, or schedule appointments.
  • Receive and resolve complaints from customers or clients.
  • Maintain proper & orderly documentation/filing for all internal & external clients.
  • Coordinate, sort, distribute, or prepare mail, messages, or courier deliveries.
  • Schedule appointments and maintain and update appointment calendars.
  • Supervision of Office Assistants in respect of janitorial services and drivers whilst maintaining the lobby or reception area.
  • Taking messages and relaying them to the relevant departments/companies.
  • Stationery Management (call cards, purchase of Stationery, ID Access etc.)
  • Maintain office filing and storage systems.
  • Monitor, order, and purchase office supplies.
  • Take action to reduce costs that are focused on creating greater efficiencies, economies of scale, or better-quality resources for a project team, department, or business unit.
  • Implement processes to provide quality customer service.
  • Perform other duties and assignments as may be required.

Minimum Qualification/Experience:

  • First degree from a reputable University
  • Minimum of 1- 2 years cognate working experience in a similar role within a corporate

Personality Traits & Competencies:

  • Ability to work in a fast-paced corporate environment.
  • Ability to handle high-volume reception duties with strong organizational skills.
  • Proven experience as a front desk representative, agent, or relevant position
  • Knowledge of office management and basic bookkeeping
  • Proficient in English (oral and written)
  • Excellent knowledge of MS Office (especially Excel and Word)
  • Strong communication and people skills
  • Good organizational and multi-tasking abilities
  • Problem-solving skills
  • Customer service orientation
  • Ability to work independently and under pressure.
